Details:General NotesThe Department of Internal Medicine at the
Dell Medical School is looking for a Senior Administrative
Associate.PurposeThe Senior Administrative Associate will provide
high-level support to the department of Medicine and the research
team.ResponsibilitiesAdministrative:
- Assist with daily operational activities for the Department of
Medicine office and special projects and any other tasks related to
business as needs arise. This includes front desk and mail
management.
- Coordinate and execution of medium to large department
functions, events, trainings, workshops, and retreats on and off of
the University campus: securing venues, developing invitations and
promotional materials, arranging catering, tracking attendance, and
taking notes.
- Coordinate travel arrangements for the faculty/staff and
invited visitors. Develop itineraries, book flights, handle
arrangements with drivers or cars, reserve meeting facilities,
hotel lodging, and other necessary arrangements. Process travel
reimbursement and other expenses, clearly tracking submission and
receipt of funds in real time. Business/Finance:
- Process travel reimbursement and other expenses for faculty,
staff and/or visitors, clearly tracking submission and receipt of
funds in real time for department and various
divisions.Recruitment:
- Assist with faculty and staff recruitment for the DOM's
research unit and department as needed, including coordinating
recruitment committee meetings, scheduling interviews, collecting
and processing applications and required forms, and collecting
interviewer feedback on candidates.
- Other related duties as assigned. Required
QualificationsBachelor's degree and at least 3 years of clerical
experience, including one year of experience at either the
administrative assistant or administrative associate level or high
school/GED and 7 years' clerical experience, including one year at
either the administrative assistant or the administrative associate
level. Experience tracking expenses, keeping organized records and
planning events. Highly detail-oriented with outstanding
organizational and time-management skills. Proficiency with
Microsoft Office programs: Excel, PowerPoint, Word, Outlook, Visio,
etc. A self-starter - ability to work efficiently and flexibly in a
fast-paced environment with minimal guidance. Professional demeanor
- excellent oral and written communication skills with proven
ability to effectively communicate with all levels of management
and respond to faculty and staff tactfully, clearly and concisely.
Demonstrated problem-solving and critical thinking skills. Ability
to address individuals and information with a high degree of
sensitivity and confidentiality in various delicate, formal or
urgent situations. Relevant education and experience may be
substituted as appropriate.Preferred QualificationsExperience with
business support functions in a university academic department or
research program.Experience with meeting management, travel
reimbursements and payment requests.Salary Range$45,000+ depending
on qualificationsWorking Conditions
